Privacy notice
Last updated: 20 October 2026
This notice explains how NeatSums handles personal information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The data controller is Billy J Machin trading as NeatSums, United Kingdom. Contact: Billymachin@hotmail.co.uk.
The short version
Everything you put into the NeatSums app (budgets, invoices, clients, mileage, receipt photos and so on) is stored on your own device, in your browser's storage. It is not sent to us, and we can't see it. Receipt photos are read on your device, not uploaded.
Information we do process
- When you buy a plan: Lemon Squeezy is the merchant of record and collects your name, email address, billing country and payment details to take payment, charge VAT and send receipts. Lemon Squeezy shares order details with us (such as your name, email, plan and licence key) so we can provide the plan and support. Lemon Squeezy's own privacy policy also applies.
- When you activate a licence key: the app sends your licence key and a device name to Lemon Squeezy's licence service to check it, and repeats this every few days.
- When you email us: we use your email and message to reply.
- Website hosting: our host, Netlify, keeps short-lived technical logs (such as IP address and browser type) to run and protect the website.
Why we can use it (lawful basis)
Contract: to provide the plan you bought and support you. Legal obligation: to keep business and tax records. Legitimate interests: to keep the service secure and answer your questions.
Sending to your accountant
If you use "Send to accountant", the app creates files on your device and hands them to your own email or share sheet. You choose who receives them.
How long we keep it
Order and licence records are kept for 6 years for UK tax purposes. Support emails are kept for up to 2 years. Data on your device stays until you delete it (Settings, Delete all data) or clear your browser storage.
Cookies
The app and this website do not use advertising or tracking cookies. The app uses your browser's local storage only to save your own information. The Lemon Squeezy checkout may set cookies needed for payment.
International transfers
Lemon Squeezy and Netlify may process data in the USA. They use safeguards approved under UK law, such as the UK International Data Transfer Addendum.
Your rights
You have the right to access, correct, delete, restrict or object to our use of your information, and to data portability. Email us to use these rights. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Children
NeatSums is meant for adults managing their own money and is not aimed at children under 13.
